Establish a Professional Email & Text Signature

Establish a Professional Email & Text Signature

Your email and text signature are often the last thing a client sees in every conversation—and one of the easiest ways to reinforce your professionalism and make yourself easy to contact.

Every interaction with a client is an opportunity to strengthen your brand, build trust, and remind them that you're their real estate expert. A clear, consistent signature helps clients quickly identify who you are and how to reach you.

Best Practices

When communicating with clients, keep these simple guidelines in mind:

  • Include your signature on every email, including replies and forwarded messages.

  • Identify yourself at the beginning or end of every new text conversation, especially when texting a new lead.

  • When leaving a voicemail, always state your name, brokerage, and callback number.

  • Keep your contact information consistent across your email signature, text messages, business cards, and other marketing materials.

  • Make it easy for clients to contact you without having to search for your information.

A professional email signature should include:

  • Your full name

  • REALTOR® designation, as all agents are required to be one with Dalton Wade per your ICA

  • Dalton Wade Real Estate Group

  • Phone number

  • Email address

  • Website

  • Social media links (optional)

  • Company logo or professional headshot (optional)

  • Team Name (if applicable, optional)

  • Team Logo (if applicable, optional, must also have company logo if using)

Example:

Jane Smith, REALTOR®
Dalton Wade Real Estate Group
📞 (555) 555-1234
✉️ jane@yourdomain.com
🌐 www.JaneSmithHomes.com

Text Message Signature

When beginning a conversation with a new client, include a brief signature so they know exactly who is contacting them.

Example:

Hi Sarah! This is Jane Smith with Dalton Wade Real Estate Group. I wanted to follow up regarding your home search.

For ongoing conversations, a full signature isn't necessary, but signing your name at the end of messages can still be helpful.

Add a Call to Action

Your email signature can also help generate business by including a simple call to action.

Examples include:

  • Search homes on my website

  • Thinking about selling? Contact me for a free home value estimate.

  • Schedule a buyer consultation today.

  • Leave me a review.

  • Download my home buying guide.
