Dotloop Folder Status - What Do They Mean?



The following are the folder statuses the Compliance Team assigns to your folders and what they mean:








Status

What it Means

Looks Great: Folder Complete

Compliance has reviewed the documents, and the folder is complete.  No further action on your part.

Notations/FYI/Info

Compliance is providing feedback about a document or documents in your folder.

Warning Changes: See Important Notes

A document or documents need change(s).  Action is required on your part.

In-Progress

Any folder can be changed to this status if compliance cannot complete the review for any reason. For example, if there is a returned item in your Initial Docs folder, we will not be able to process the CDA, so we will mark that folder "In-Progress".

Processing CDA

Your CDA has been sent to Accounting for final review and approval. Accounting reviews & sends to the broker for signature.  Your CDA is automatically sent to the broker through this process.  Do not send it or "share" it to the broker directly.

Returned to Agent

Incomplete, unenforceable, or partially executed documents will cause compliance to return the folder to the agent. 

Sold: Congratulations!

Final signed ALTA & Final Walk Through have been uploaded to the Closing Docs folder.

CDA Signed By Broker: Folder Complete

Your CDA has been signed by the broker and is ready for you to send to the title company or closing attorney. 

Cancelled

Release & Cancellation, and/or Modification to Listing agreement to cancel the listing has been uploaded.   File has been terminated.

SLD: W/O Submitting for Review

All documents have been submitted after closing and have not been reviewed by Compliance. Signed documents are due to Compliance within 48 hrs. of execution. Folders are expected to be submitted once all docs have been uploaded & signed.

Needs Review

When you submit a folder or files to Compliance by clicking on “Submit for Review”. Your folder/files were successfully submitted for review. This notifies Compliance that there are new folders/documents for review.

Helpful Information:

Submitting Documents for Review - Please remember to submit your documents/folders for review by clicking "Submit for Review" in the upper-right corner. If you see "NOT SUBMITTED" or “PDF” next to your document/folder, this should alert you to submit the folder/files for review.

CDA – please do not forward your CDA directly to anyone for signature.   CDAs are processed by the Compliance Team and automatically routed to accounting, where the broker will sign the CDA if it is in order. 

Processing CDA – this status means your CDA was reviewed by Compliance and sent to Accounting for review.  Please do not change the status to “Needs Review,” as it will remove it from the signing queue and place it back in the Compliance queue, which will delay the signing of your CDA. 

Returned to Agent – if your folder is set to this status for LISTING DOCS, INITIAL DOCS, or your CDA, please upload the missing documents or make the corrections to your CDA.  Your CDA will not be processed if you have a folder in "RETURNED TO AGENT" status.
