Rentals & Leases FAQ

This guide walks you through how to properly set up and submit rental transactions in Dotloop.

There are three common scenarios, depending on your role in the transaction.


1. Rental Referral Only

Use this option when you are referring a tenant and receiving a referral fee.

How to Set Up:

  • Create a loop using the “Referral : Rental” template

Required Documents:

  • Proof of commission:

    • MLS Broker Synopsis, OR

    • Referral Agreement / Commission Agreement

  • Completed CDA (Commission Disbursement Authorization)


Important Notes:

  • Dalton Wade fee may apply depending on the commission amount

  • Always complete the CDA fully to avoid payment delays


2. Rental – Listing Side (Landlord Representation)

Use this when you are listing a property for lease.

How to Set Up:

  • Create a loop using the “Rental: Listing” template

  • Select the appropriate MLS or non-MLS option


Required Documents:

Listing Documents:

  • Exclusive Right to Lease Listing Agreement

  • Any required addenda or disclosures

Lease Documents:

  • Executed Residential Lease (typically not to exceed 1 year)


Escrow & Deposits

Handling of deposits (security deposit, first month’s rent, etc.) will vary based on:

  • Whether Dalton Wade is holding escrow

  • State-specific requirements

CDA (Required)

  • Must be completed and submitted for all transactions

  • Include all commission and payment details


3. Rental – Tenant Side (Renter Representation)

Use this when you are representing the tenant and receiving compensation.

How to Set Up:

  • Create a loop using the “Rental: Tenant” template


Required Documents:

Initial Documents:

  • Executed Residential Lease

  • Any required disclosures


Escrow & Deposits

If handling tenant funds:

  • Follow your state and brokerage escrow procedures

Important: Please refer to the appropriate state-specific rental information articles for full instructions.


Final Step:

  • Complete and submit the CDA

  • Ensure all fields are filled out to avoid delays in payment


Lease Renewals

How to Set Up:

  • Create a loop using the “Rental: Lease Renewal” template

  • Name your loop clearly: “Lease Renewal – [Property Address]”

Required:

  • New lease agreement

  • CDA


If You Selected the Wrong Template

  • Archive the incorrect loop

  • Create a new loop using the correct template


Completing the CDA (Required for Payment)

A completed CDA is required for Accounting to process your commission.

Key Reminders:

  • Do not leave any required fields blank

  • Clearly describe the commission (example: “½ month rent” or “flat referral fee”)

  • Ensure all payment amounts are accurate

If the CDA is incomplete, it will be returned and delay payment.


Best Practices

  • Choose the correct loop type from the start

  • Upload all required documents early

  • Use clear loop names for Compliance

  • Always submit a completed CDA
