Adding a Public Record (Tax Record) to Your Dotloop

In many transactions, you may be required to upload a public record (property tax record) into your Dotloop file for compliance.

This document is typically pulled from:

  • Your MLS (if the property is listed), or

  • A county property appraiser / public records website


Option 1: Pull from the MLS (If Property is Listed)

If the property is already listed in the MLS, this is usually the fastest method.

Steps:

  1. Open the listing in your MLS

  2. Locate the Tax ID / Parcel ID

  3. Click the Tax ID or public records link

  4. The public record will open

  5. Click Print or Save as PDF

  6. Save the file to your computer

  7. Upload it into Dotloop in the appropriate folder


Option 2: Pull from County Public Records (If Not in MLS)

If the property is not listed in the MLS, you will need to use the local county’s property records site.

Steps:

  1. Go to your county property appraiser / assessor website

    • (Search: “[County Name] property appraiser” or “property records”)

  2. Search by:

    • Property address, or

    • Owner name

  3. Select the correct property/parcel

  4. Once the record is displayed:

    • Click Print, or

    • Right-click and choose Save as PDF

  5. Save the file and upload it into Dotloop


What If You Can’t Access the Public Record?

Some records may be restricted or confidential, such as for:

  • Law enforcement

  • Judges

  • Government officials

  • Certain protected individuals

In This Case:

  • Upload an Exemption Request Form instead

  • Complete the form

  • Place it in the public record placeholder in Dotloop


Best Practices

  • Always upload a clear, complete copy of the record

  • Double-check the parcel matches the correct property

  • Save files as PDF for consistency

  • Upload early to avoid compliance delays
