Received an Invoice for a transaction fee?

Paying transaction fees for real estate transactions performed by Dalton Wade agents are the responsibility of the agent. If you received an invoice for a transaction fee from Dalton Wade it is because our records show that we never received payment from you (or on behalf of you) for a closed transaction.

How we determined that the transaction fee is owed:

1. There is a CDA that was submitted for the transaction and the closing date on the CDA is over 30 days old.
2. There is no signed cancellation form in the loop and/or the cancellation form was not submitted to compliance for review.

What to do:

CANCELLED TRANSACTION:

If the transaction had cancelled or the offer was withdrawn, verify that all of the cancellation paperwork is in order in your loop and had been submitted to compliance for review. Once that is completed, send an email to accounting@daltonwade.com stating that all has been completed and we will update our records and remove the invoice.

CLOSING DATE HAS CHANGED:

If the closing date has been extended well past the closing date on the CDA, send an email to accounting@daltonwade.com letting us know that is the case. We will check the loop for an addendum that extends the closing date and adjust our records for the new date.

TITLE WAS SUPPOSED TO SEND THAT TO US:

If the property had closed and title or the closing attorney's office was supposed to send that to us, we have not received payment for it, or we did receive payment but it was mis-allocated because the information on the check or paperwork sent with the check did not match what is on the CDA. For example, we received a check that did not have a property address or an agent's name on it so that we could match up the payment with your CDA. That check becomes and "Orphan" check and until we get more information, we don't know who to allocate the funds to. This also happens a lot when the transaction fee is wired to Dalton Wade and we do not receive a wiring receipt from you or the title company indicating who the funds belong to.

What to do in order to resolve this:

Reach out to  the title company and verify that they sent the funds to us. 

If they mailed a check, verify the following information:

1. Date the check was mailed to us.

2. Exact address the check was mailed to

3. Check Number

4. Exact amount of the check

5. Has the check cleared on their end

Forward this information to accounting@daltonwade.com so that we can verify on our end.

If it has been more than 30 days since the check was mailed and if it had not cleared on their side, then the check should be considered lost and re-issued. Be sure that the mail the new check to the correct address:

If the funds were wired to us, get a copy of the wiring receipt from the title company and forward to accounting@daltonwade.com 

With either option, be sure to include the name of the title company, person you spoke with and their phone number and/or email address for further inquiries.
