How to Mass Email or Text Your Contacts in BoldTrail CRM

There may be times when you want to quickly send a message to multiple contacts at once—such as announcing an open house, sharing a new listing, or sending an update to your database.

BoldTrail CRM allows Dalton Wade agents to send mass emails or text messages directly to selected contacts within the system.


Step 1: Log in to BoldTrail CRM

Go to the Dalton Wade BoldTrail CRM dashboard:

Enter your login credentials to access your CRM.


Step 2: Open Your Contacts

Once logged in, click Contacts in the main navigation menu on the left side of the dashboard.

This will open your full contact database.


Step 3: Select the Contacts

You can:

  • Use filters to narrow down a specific group of contacts

  • Select individual contacts manually

  • Select all contacts by checking the box at the top of the list

Once at least one contact is selected, additional messaging options will appear.


Step 4: Choose Your Message Type

After selecting your contacts, click either:

  • Email – to send a mass email

  • Text – to send a mass SMS message


Step 5: Write Your Message

A message window will appear where you can:

  • Write your email or text

  • Review the recipients

  • Personalize the message if needed

When you're ready, click Send.

Your messages will then be queued and sent automatically by the system.


Important: Mass Text Message Limits

To comply with anti-spam regulations and protect message deliverability, BoldTrail limits the number of mass or campaign texts sent to a single contact to one per day.

Keep the following in mind:

  • Mass texts and Smart Campaign texts must be spaced at least 24 hours apart

  • If multiple texts are scheduled within the same day, only the first message will be delivered

  • Additional attempts will fail and a note will appear in the contact's activity timeline

A "day" is defined as midnight to midnight based on your office time zone.


Tips for Better Results

Set up your email signature
Make sure your BoldTrail profile includes a professional email signature before sending mass emails.

Create canned responses
If you frequently send similar messages (such as open house announcements or listing alerts), creating canned responses can save time.

Sending to more than 250 contacts
If you need to email a large group, consider using the Scheduled Mass Email tool, which is designed for larger sends.

Email delivery timing
Mass emails are sent in batches to avoid spam filtering. Because of this, messages may not all send at the exact same time. For larger contact lists, allow up to 24 hours for all emails to be delivered.

Email display notice
Emails sent from BoldTrail will display your name and may show "via kunversion" in the email header. This is part of the BoldTrail system and cannot be removed.
