How to Add Documents, Forms & Contracts to Your Dotloop

Dotloop offers several ways to add documents, forms, and contracts to your transaction loop.

You can select documents from available templates, upload files saved on your computer, or email attachments directly into a transaction folder.

Method 1: Add a Document from Templates

Use this method when you need to add a form or contract from your available Dotloop templates.

  1. Log in to Dotloop and open your transaction loop.

  2. Locate the folder where you want to add the document.

  3. Click Add Document to the right of the folder.

  4. Select Templates.

  5. Browse the available categories on the left side.

    1. Template Search Tip: If you know the name of the form or contract you need, use the Search bar in the Templates library to find it quickly instead of browsing through each category.

  6. Locate the document or form you need.

  7. Check the box next to the document.

  8. Click Copy to add it to your transaction folder.

The selected document will appear in your loop, ready for you to complete or share.

Tip: Make sure you're working within the correct Dalton Wade office profile so you have access to the appropriate brokerage templates.

Method 2: Upload a Document from Your Computer

Use this method when you already have a document saved on your computer, such as a signed contract, disclosure, or PDF.

  1. Open your transaction loop.

  2. Locate the folder where you want to upload the document.

  3. Click Add Document.

  4. Select Browse or Computer, depending on the options displayed.

  5. Locate the file on your computer.

  6. Select the document and click Open.

    1. Upload Tip: In addition to selecting a file from your computer, you can drag and drop a document directly into the Browse upload area when that option is available.

The document will be uploaded into your selected transaction folder.

Tip: Before uploading, make sure the document is complete, legible, and saved in an appropriate file format.

Method 3: Email Documents Directly into Your Loop

Dotloop also allows you to email document attachments directly into a transaction folder.

This can be helpful when you receive contracts or disclosures by email and want to add them without downloading each attachment individually.

Step 1: Copy the Folder's Email Address

  1. Open your transaction loop.

  2. Locate the folder where you want the documents uploaded.

  3. Click Add Document.

  4. Select Email.

  5. Click Copy to Clipboard to copy the email address provided by Dotloop.

Step 2: Forward Your Documents

  1. Open the email containing the documents you want to upload.

  2. Click Forward.

  3. In the To field, paste the email address you copied from Dotloop.

  4. Confirm that the documents are attached to the forwarded message.

  5. Click Send.

Dotloop will process the attachments and add supported files to the selected transaction folder.

Step 3: Verify the Upload

Return to your Dotloop transaction and confirm that the documents have appeared in the correct folder.

Review each document to ensure that the complete file was uploaded.

Adding Documents to Required Placeholders

Some Dalton Wade transaction templates include required document placeholders.

If you upload a document separately instead of directly into its designated placeholder, you may need to replace the placeholder with your uploaded file.

To do this:

  1. Locate the uploaded document.

  2. Click and hold the document.

  3. Drag it over the appropriate placeholder.

  4. Wait for the Replace Document With indicator.

  5. Release your mouse to complete the replacement.

  6. Open the document to verify that the correct file is in place.

For more detailed instructions, see our article How to Replace a Document or Placeholder in Dotloop.

Important: Submit Documents for Compliance Review

Adding documents to your loop does not automatically submit them to Dalton Wade's Compliance Team.

After uploading and completing the required documents, click Submit for Review and submit the appropriate transaction folders.

Confirm that your folder status changes to Needs Review so the Compliance Team can begin its review.
