Stellar MLS Owner Authorization Explained



Why do I need this form?

STELLAR MLS requires the Owner authorize their property data prior to making it “Active” in the MLS. Stellar provides an Owners Authorization form in the printing section. This report only works when the property is in "Incomplete" status. If property is "Active" or "Pending" please have the seller sign a printout of the MLS Broker Synopsis or upload the MLS Data Entry Sheet signed by the seller and submit to the LISTING DOCS folder. In the event of an issue, MLS will fine you. They will want to see this document authorizing their property to be entered into the MLS.

The placeholder will auto-populate to the Listing Docs folder when setting up your loop & you select "Stellar".  This will not auto-populate for non-Stellar agents.

What do I need to do?
The Owner Authorization is one of the following:

1. a. The Owner Authorization form printed from the reports section when listing is in “Incomplete” status - Requirement is met. Or one of the Stellar MLS forms:
     b..Owner Authorization to Exclude Listing from MLS - must be signed by all & uploaded to the placeholder.  Requirement is met.
     c. Owner Authorization to Temporarily Exclude - must be signed by all & uploaded to the placeholder. Requirement is met. 
2. The seller signed MLS Data Entry sheet. Requirement is met.
3. Printout of the MLS Broker Synopsis signed by seller if listing is ACTIVE.  Requirement is met.

Note: If your client signs one of the MLS Owner Authorization to Exclude or Temporarily Exclude – the form MUST be uploaded to the link provided by MLS on the main page within the 5 day timeframe!


Where are the Stellar MLS Owner Authorization forms?

You can copy the form to your folder by clicking ADD DOCUMENT, TEMPLATES scroll to MLS Forms, check the box for the form, and click COPY.  Stellar MLS has 2 Owner Authorization forms. See forms below:

1. Owner(s) Authorization to Temporarily Exclude Listing from the MLS

This form will be used if the seller signs the listing agreement on a certain date but wants extra time to do renovations, painting, etc. prior to the home being listed.  This form is also known as the "waiver" and must be filled out & signed by all.  Once signed it must be uploaded to the link provided by MLS on the main page.

2.    Owner(s) Authorization to Exclude Listing from the MLS


This form is used if the seller does not want their property listed in MLS.  Some law enforcement, judges, firefighters, first responders, etc. whose public records are suppressed may request their property not be listed publicly.  This form must be filled out & signed by all.  Once signed it must be uploaded to the link provided by MLS on the main page.

Many agents download the above forms and add them to the placeholder for the Owner Authorization.  This form should only be used if the above 2 scenarios apply!
